Event & Marketing ManagerMonday to Friday 40kJob Role: To lead the Event's Business through strategic planning and the design of an effective marketing strategy, working with the internal teams on site to deliver high level hospitality events within the business. You will also be responsible for the active growth and management of both our large volume and VIP events on site, coordinating relevant personnel to deliver the events in line with the company standards. Responsible for managing and actively developing all key stakeholder relationships as well as client relationships, managing lines of engagement and strengthening the existing departmental partnerships on site as well as identifying potential opportunities for service provision. Key Responsibilities: Own the design and implementation of a marketing strategy to achieve growth of the events business Work with the senior management team to identify measurable targets for the growth of the business Monitor and measure the impact of the marketing strategy in relation to growth and report monthly to the senior leadership team on site Lead the execution of site marketing projects from start to finish, determining scope, leveraging internal support and driving collaboration Help develop and design creative briefs and guide creative direction to meet objectives for all site-based communications and projects Undertake regular market analysis and benchmarking to ensure our offer is competitive at all times and in line with market expectations To work with the central marketing team to combine client and company goals and culture Create, maintain, and conduct analytics reporting across multiple platforms including Salesforce and Condeco to extract key insights for future campaign development and go-to-market strategies complete with formal proposals and recommendations on tactics Present ideas and final deliverables to internal and client teams, and communicate with management about marketing programs, strategies, and budgets Management of internal and client facing communication and social media - including Yammer, Yapster and Linkedin Take departmental lead on all Freshfields responsible business projects including ED&I and sustainability initiatives Working with culinary team to ensure the menus and themes are in line with the BM marketing calendar Undertake and manage all client viewings Develop client relationships and cultivate existing ones for repeat business Target event business from all areas within Freshfields by developing relationships with key event stakeholders Lead weekly events meetings to coordinate client service teams and ensure Freshfields deliver on all client and internal events Management of event booking software system (Condeco) for the designated managed spaces Ensure the department responds to all enquires confirming bookings in a timely manner Maintain and keep accurate record of all communication Discuss and confirm all booking details with the Client prior to the event to ensure clear mutual understanding and excellent execution Ensure all event information is accurately compiled in a timely manner and communicated correctly to the operations team for execution Be in attendance at events as required to ensure client expectations are met and handed over to the operations team Support and deputise for hospitality management to oversee event delivery when required Ensure client floors are checked as standards met as per Standard Operating Procedures (SOP) Support the hospitality manager to deliver annual showcase events Underake bi-annual revies of the SOPs to ensure they are current and relevant Liaise closely with Freshfields Events Team to progress an enquiry through to confirmation Deliver training on Condeco event booking to all relevant Freshfields stakeholders Manage the events team to ensure company policies are followed and all business opportunities are maximized Active use and contribution to the Salesforce (CRM) to map out the onsite events calendar Working within clear budgets to procure event suppliers, entertainment and props Ensure the creation of event overview documents for bespoke events & fine dining Monthly event reporting and analytics for the monthly client meeting Working with the BM marketing and Freshfields One London calendars to integrate and theme site-based events Ensure event feedback KPI is achieved each month Supervision of bookings administrator with delegation of event tasks Report monthly to the head of department (hospitality manager) on agreed KPI measurement in relation to this job specification
