Job Summary:

Our client is seeking a highly organized and detail-oriented Events Coordinator to join the team. The ideal candidate will have a passion for event planning, possess exceptional communication skills, and thrive in a fast-paced, deadline-driven environment. In this role, you will be responsible for coordinating all aspects of event planning and execution, ensuring seamless operations and unforgettable experiences for their clients.

Event Planning duties include:

Collaborate with clients to understand their event objectives, preferences, and budget constraintsAssist in creating event concepts, themes, and overall design elementsResearch and recommend suitable venues, vendors, and suppliersManage event logistics, including venue selection, contract negotiation, and scheduling

Budget Management:

Develop and maintain event budgets, tracking expenses and ensuring cost-effectivenessObtain quotes and negotiate pricing with vendors and suppliersMonitor expenses throughout the event planning process and make adjustments as necessaryVendor and Supplier Coordination:

Liaise with vendors, suppliers, and service providers to secure necessary equipment, materials, and servicesCoordinate and oversee vendor contracts, ensuring compliance with agreed-upon terms and conditionsManage vendor relationships, negotiate pricing, and resolve any issues or concerns that may ariseEvent Logistics:

Coordinate event timelines, production schedules, and staffing requirementsArrange transportation, accommodation, and catering for guests, speakers, and VIPsOversee event setup, including staging, audio visual equipment, and décor arrangementsCoordinate event registration, ticketing, and attendee managementOn-site Event Management:

Ensure seamless event execution by supervising event setup, registration, and other operational activitiesAddress any issues or challenges that arise during events, implementing timely and effective solutionsAct as a point of contact for clients, vendors, and staff during eventsCoordinate event breakdown and post-event evaluationsRequirements:

Bachelor's degree in Event Management, Hospitality, or a related field (preferred but not mandatory)Proven experience as an Events Coordinator or similar roleExcellent organizational and time management skillsStrong attention to detail and problem-solving abilitiesExceptional communication and interpersonal skillsProficient in event planning software and Microsoft Office SuiteAbility to work independently and as part of a teamFlexibility to work evenings, weekends, and travel as requiredIf this position is of interest and you have the skills and experience required.
